Rules regarding operations/finances at AU, Arts and CC level

AU and Arts guidelines with specification of CC's own rules

CC follows the rules that are set at AU and Arts level.

Additionally, CC has set guidelines that specify what CC can/cannot grant within these set limits.

These guidelines were processed and approved by the school management team on december 11th 2024.


Arts level


Student introductory camp

  • Departments pay for student introductory camps.
  • Arts' cars cannot be borrowed for this purpose.
  • The 3 departments have decided that mileage allowance can be paid for one car per trip, if the car is owned or rented.

Travel - Assistant professors, associate professors and professors

  • State and AU rules apply - also for external projects.
  • Assistant professors, associate professors and professors are limited to 30.000 DKK over 3 years, to cover all research trip related expenses.
  • CC does not provide hourly and daily allowances for trips longer than 14 days.

Travel - PhD students

  • PhD students financed by Arts are limited to 40.000 kr for travel.

Introductory week

  • Departments provide an activity grant of 75 DKK per new student (BA, EL, MA).
  • Heads of departments, and those they have delegated the introductory week to, decide how the grant can be spent - though not on alcohol.
  • The funds are to be used and settled the year in which the introductory week takes place.

CC level


Refreshments

Graduation reception

  • AL can provide up to 75 DKK per expected participant, but maximum 225 DKK per participating MA in total (i.e. if there are more than 2 guests per MA there will be less than 75 DKK per participant).

Receptions

  • CC covers 1500 DKK for receptions after PhD defences. Otherwise these follow AU's limits.

Study trips and excursions

  • The head of department can decide to support certain academic activities in the department and in academic environments, if it is deemed relevant to specific courses that are offered by the department.
  • Expenses that have been covered previously include funds for academic presentations, academically relevant tours, rooms for academic purposes, teachers transport, overnight stays, entrance fees and refreshments/hourly allowance.

Office furniture and IT

  • Secretaries can buy ordinary furniture (office chair, height adjustable desk, shelves and if needed a lockable cupboard.)
  • Secretaries can without further approval from AL buy the IT standard equipment CC has decided upon. Currently that is the PCs available in the IT webshop, and, if needed, standard docking station, monitor, mouse, keyboard, speakers, head-set, sleeve.
  • Additionally the cheapest Mac can be bought without special approval.

Employee broadband, printers, printer cartridges and toner

  • Employee broadband, printers, printer cartridges and toner etc. for home use will not be granted.
  • Already granted broadbands continue for now.

Thesis seminar

CC covers up to 10 hours for either an external or internal Arts/AU-opponent. In the case of several opponents, the hours will be split between them. Domestic train travel (no over night stays) and refreshments for external domestic opponents may be covered. International opponents participate online.


Journals

  • The department does not provide funding for journals, publishing etc.

Covering moving expenses when recruiting international employees

  • The department covers expenses for new regularly employed assistant professors, associate professors and professors with up to 10.000 DKK, if they move to Denmark alone (without partner/spouse/children) from Europe or the Middle East.
  • The department covers expenses for new regularly employed assistant professors, associate professors and professors with up to 20.000 DKK, if they move to Denmark with family from Europe or the Middle East.
  • The department covers expenses for new regularly employed assistant professors, associate professors and professors with up to 20.000 DKK, if they move to Denmark alone (without partner/spouse/children) from overseas.
  • The department covers expenses for new regularly employed assistant professors, associate professors and professors with up to 40.000 DKK, if they move to Denmark with family from overseas.
  • Expenses that will be covered can include visa, flights, moving expenses and more.
  • Postdocs and others cannot have their expenses covered beyond what is covered by their external grant.
