It is important for employees to be very attentive to whether an inquiry is a genuine request for access to public records. A request for access can be formulated in many different ways.
Below, you will find a few anonymized, realistic examples:
"We would like to request an overview of the collaborations that AU has with the XXXX industry in Denmark, including an overview of the collaborations between AU and the companies XXX, XXX, and XXX. We would like to know which faculty/school/center/unit at AU the collaborations fall under and who is responsible for the collaboration at AU. Additionally, if the collaboration involves financial support or similar, we would like to request the amount."
"I have two matters that I hope you can help me with, or alternatively refer me to the right person. I would like to receive your most recent workplace assessments (APV), both the physical and psychological ones, as I am working on an article that involves XXXX."
"Hi, my name is XXX, I am a reporter for XXX. I hope you're well. I'm looking into how XXXX sponsor academic research and universities, but I can't quite find information about Aarhus University's donors... Is there such a list online? Can you tell me if Aarhus University receives any money/grant/funds/contracts from XXX, XXXX, or XXX? I'm particularly interested in sponsorship at the School of Communication and Culture."
Anyone has the right to request access to public records and information from public authorities, including Aarhus University. The purpose of access to public records is to promote openness and transparency in public administration
It is very important that employees who receive a request for access to public records IMMEDIATELY forward any requests to the school's secretariat manager upon receipt.
A request for access to public records must be processed and answered no later than 7 working days after receipt. Taking vacation is NOT a valid reason for extending the response deadline.
Contact the School of Communication and Culture's secretariat manager, who will ensure that the management secretariat provides technical and administrative support regarding Workzone (retrieving existing documents and creating cases) as well as processing of materials.
